Helping a Fitness Coach Simplify and Scale

When I partnered with Just Feel It Fitness, the client was running a successful virtual program but managing everything manually. Workout routines needed to be sent daily, her WordPress website lacked key features and was difficult to update, and workflows like onboarding and scheduling had no clear structure or automation.

She needed a system that was easy to manage and built to grow. I helped her create a more structured foundation that led to improvements in:

Workflow efficiency

Onboarding, class reminders, and client follow-ups now run with minimal manual input.

Scalable structure

A flexible setup supports future memberships, drop-ins, and new offers.

Client experience

A smoother journey from discovery to signup keeps clients engaged and reduces drop-off.

Objective

Set up and structure a centralized platform that:

  • Is easy to manage for a non-technical solopreneur

  • Supports the client’s existing live class structure

  • Can scale to include memberships and community features

  • Automates key workflows like onboarding and reminders

  • Delivers a consistent, professional client experience

Approach

🔍 Platform Audit:
I reviewed five platforms — Kajabi, Teachable, Podia, Uscreen, and Punchpass — comparing costs, usability, and feature sets. Podia stood out for its simplicity, affordability, and ability to handle all key tasks in one place.

🔄 Mapping the Experience:
To clarify what needed fixing, I mapped the full customer journey from discovery through signup. This surfaced friction points and helped us prioritize what to automate or restructure. I also drafted page-by-page content outlines to guide the website build and collaborated with the client to refine the copy.

📐 Wireframing Content Flow:
Instead of visual wireframes, I used simplified layout sketches and structural content plans to quickly align on page goals, call-to-action placements, and hierarchy before moving into Podia’s builder.

Solution

🖥️ Platform Setup & Visual Structure:
I built the new site using Podia’s tools, customizing the visuals to align with the client’s tone and branding. The updated landing pages introduced clear CTAs, content hierarchy, and sectioned layouts — replacing the original single-block, text-heavy format.

🎟️ Free Trial Flow & Payment Setup:
To enable the client’s preferred 3-month pricing model (which Podia didn’t support natively), I bypassed Podia’s checkout and integrated Stripe payment links. I also created a free trial system using Calendly. Trial bookings triggered automated email sequences through Podia, reducing manual follow-up and improving conversion.

📧 Email Automation:
I set up email funnels tied to freebie downloads, trial bookings, and paid signups. Her daily class reminders — previously written and sent manually each morning — were replaced with pre-scheduled monthly sequences. I also created reusable email templates for campaigns and member updates.

Key Takeaway

What small businesses need isn’t complexity, it’s structure. With a few well-chosen tools and the right systems in place, we made her daily work easier and set her up for growth. Podia brought everything into one place so she could spend less time managing and more time connecting.
